Email Marketing List: Set Up Guide

 

This tutorial will cover the Control Panel section for Email Marketing List. You will be able to create and send out robust newsletters to your contacts via a custom mailing list and also manage your New Work Notifications List.

If you find yourself taking your time while working on your newsletter don't forget to save your latest changes via the “Save Newsletter” button, so if the Control Panel ever times out due to inactivity (~1 hr), you will not lose your work.


Import/Export Your Contacts

☛ From your Control Panel's Main Menu, click on , then click on the button.

☛ In order to import your contacts, your file will first need to have 2 things:

  1. That all your email addresses are listed within the first column for “A”. See below for example. (Column B for display name is optional, which you can either leave blank or fill in.)
  2. Your file is saved as a CSV. (use a spreadsheet program like Microsoft Office Excel or Apple iWork Numbers).

The format for your CSV is as follows: Column A = email address / Column B = display name (optional)

Here is an example:

 

Sample CSV File

If you need extra help, under the section for 'Download a Sample CSV File', click the link named: “Click here download the sample CSV file”. This sample file will show you exactly how to properly format your contact's information within your file so that you can easily and quickly import them all at once.

 

The file will be downloaded via your internet browser and you'll want to save it somewhere on your computer, preferably in an area you are familiar with, like your Desktop. You will then want to open this file using a spreadsheet program like Microsoft Office Excel and Apple iWork Numbers.

You can leave the header of “email” at the top or delete it, either way it will work. Column B for display name is optional and does not need to be included in order to upload the file.

☛ Remember that when you export your contacts list from your email provider make sure the export format is in CSV. Most times there will also be other information within the other columns, which you can delete. It does not matter if the rest of your columns (other than A or B) have info in them or not, so you can choose to delete that data or leave alone.

☛ After your CSV file is ready, click the “Choose File” button, making sure the Mailing List you want to upload to is showing from the drop-down menu. In this example, we are uploading to the “All Contacts List”.

 

☛ When file is attached, click the “Upload CSV File” button.

☛ The system will display how many emails were added successfully to the chosen mailing list (in this example, “All Contacts Lists”).

 

Manage Your Contacts

☛ From your Control Panel's Main Menu, click on , then click on the button.

☛ The results are from your “All Contacts List”, which is comprised of all your contacts, including those that opted into your mailing list via the Join Email List link on your website, all contacts you've added, and the new work notifications list.

Each page will show up to 30 results. It you have more than 30 results+, additional pages will then generate in the lower, right-hand corner.

 

Add a Contact

☛ From your Control Panel's Main Menu, click on , then click on the button.

☛ To add one contact at a time to your “All Contacts List”, enter your contact's email address within the empty field for Email:. You can also enter the contact's name within the empty field for Display Name: (optional)

 

☛ Click the “Add Contact” button to confirm. This will add the email address to your “All Contacts List”.

 

Delete Contact(s)

☛ From your Control Panel's Main Menu, click on , then click on the button.

NOTE: Deleting any contact from the Manage Contacts area will delete it from all lists, including the All Contacts List. If you wish to delete a contact from a specific mailing list, please go to “Manage Mailing Lists”.

☛ To delete one or more contact at a time from the visible results, place a check-mark next to the corresponding email(s), then click the “Delete Contacts” button.

 

Alternatively, you can also delete by clicking the “Delete” link within the row for the email.

☛ To delete all visible results, place a check-mark next to the “Check all” box and click the “Delete Contacts” button.

 

Add Contacts to a List

☛ From your Control Panel's Main Menu, click on , then click on the button.

☛ To add one or more contact to a mailing list from any listed within your All Contacts List, place a checkmark next to the contact(s). Then select the mailing list from the drop-down and click the “Add Contacts To List” button.

Edit a Contact

☛ From your Control Panel's Main Menu, click on , then click on the button.

☛ To edit a contact, click the “Edit” link within the row for the email.

A pop-up will then generate which will enable you to edit the fields for email address and display name. When done, click the “Save Email” button.

 

Contact "Located In" View

☛ From your Control Panel's Main Menu, click on , then click on the button.

☛ To view which mailing lists a particular email address appears in, click the “Located In” link.

A pop-up will then generate which will enable you to view the mailing lists that are associated with that email address. When done, click the “Close” button.

 

Manage Your Mailing Lists

☛ From your Control Panel's Main Menu, click on , then click on the button.

The results shown are all your current mailing lists. Each page will show up to 30 results. It you have more than 30 results+, additional pages will then generate in the lower, right-hand corner.

Add a Custom List

☛ From your Control Panel's Main Menu, click on , then click on the button.

☛ Within the empty field for “List Name:” input the name for your new custom mailing list (i.e. galleries, etc.). Click the “Add Custom List” button when done.

 

Add a Contact

☛ From your Control Panel's Main Menu, click on , then click on the button.

☛ To add a contact to one of your Mailing Lists, click the link for “Add A Contact”.

A pop-up will then generate which will enable you to enter the email address and display name (optional). When done, click the “Save Contact To List” button. Note: Adding to a contact to any custom mailing list, will also add it automatically to your “All Contacts List”.

 

Manage List Contacts

☛ From your Control Panel's Main Menu, click on , then click on the button.

☛ To manage the contacts within a mailing list, click the “Manage List Contacts” link.

The results shown are all your contacts within that mailing list. Each page will show up to 30 results. It you have more than 30 results+, additional pages will then generate in the lower, right-hand corner.

 

☛ To delete one or more contact at a time from the visible results, place a check-mark next to the corresponding email(s), then click the “Delete Contacts” button.

 

Alternatively, you can also delete by clicking the “Delete Contact From List” link within the row for the email.

 

Compose/Send a Newsletter

☛ From your Control Panel's Main Menu, click on , then click on the button.

View Saved Newsletters

☛ From your Control Panel's Main Menu, click on , then click on the button.

☛ If you want to customize a newsletter that is already saved, click on the “View Saved Newsletters” button.

 

☛ You will see all the newsletters that have been drafted and/or sent within this area.

 

☛ To load a saved newsletter, simply click once to highlight with your mouse, then click the “View Newsletter” button.

 

☛ The saved newsletter will load in the editor, in this area below, shown here:

 

Message Header

☛ From your Control Panel's Main Menu, click on , then click on the button.

☛ The Subject: field should be a short synopsis of what your newsletter is about.

 

☛ The From: field will reflect those email(s) that you have listed as your “Primary Email Address:” and “Alternate Email:”, within the 'Billing Info' area. elect from the drop-down menu to chose which email (if there is a choice) to send your email newsletter out to.

 

☛ The To: field will reflect all the default and custom mailing lists you have currently. Select from the drop-down menu to chose one mailing list to send your email newsletter out to. (Click here for more on your Mailing Lists.)

 

☛ The Salutation: field can reflect a greeting to your contacts or can be left blank.

 

Message Body

☛ From your Control Panel's Main Menu, click on , then click on the button.

☛ To get started on creating your newsletter from a completely blank canvas, simply click the “Clear Newsletter” button at the bottom of the editor. (To create your newsletter from the newsletter template provided, click here for the Guide on Customizing the Newsletter Template #1)

 

☛ First, we need to enter our Subject: field, so simply click within the field with your mouse and enter the text with a new Subject:, such as “Gallery Showing - October 2013”.

 

☛ Then click the “Save a New Newsletter” button.

 

You will then see it populate within the Saved Messages area above.

 

☛ Within the empty editor, enter your newsletter's text and/or image(s). (Click here to see how to insert an image.)

 

☛ When finished (or, if it's been more than 30 minutes or so), click the “Save Newsletter” button to save your latest changes.

 

☛ To send a Test message to yourself before sending out to your specified mailing list, click the “Test” button. This will only send to your primary email account in your account. (To change this, go to the Account section of your Control Panel, under “Primary Email Address”.)

 

☛ To send out your finished newsletter, click the “Send Newsletter” button. Be sure that your message headers are are correct before sending.)

 

View Newsletter Stats

☛ From your Control Panel's Main Menu, click on , then click on the button.

☛ If you have sent out a newsletter to your contacts (all contacts or a custom mailing), then this button will appear for you.

 

☛ Click on the button once to retrieve the stats. The stats that will generate are as follows:
